Project Free TCG

Privacy Policy

Last updated: October 9, 2026

Privacy by default.

Project Free TCG collects as little personal information as we reasonably can, does not sell personal information, and deletes non-winning giveaway entry data automatically once the final required winner or winners have been verified.

1. What this policy covers

This policy explains how Project Free TCG collects, uses, discloses, protects, and deletes personal information when you use projectfreetcg.com, enter a giveaway, subscribe to the newsletter, make a donation, submit a sponsorship inquiry, or contact us.

2. Giveaway information we collect

Giveaway entrants provide their first and last name, email, country (Canada or United States), province/territory or state, postal or ZIP code, age/entry-type and applicable guardian permission declarations, and entry submission time. Canadian entrants also answer a skill-testing question. We do not request a child's name, email address, or other details when a parent enters in their own name on a child's behalf.

Anti-bot and fraud-prevention measures are in place to protect the fairness of our giveaways. Information used for entry security is accessible only to authorized administrators and follows the entry-data retention practices described below.

We do not ask every entrant for a date of birth, phone number, government identification, or full street address.

If you are selected as a potential winner, we may then request the minimum additional information reasonably needed to verify eligibility and deliver the prize, such as a shipping address, proof of age or residency, or parent/guardian confirmation for a minor. If identification is reviewed for verification, we do not keep a copy unless there is a specific legal reason to do so.

3. How giveaway information is used

We use giveaway information only to:

  • accept and validate entries;
  • prevent duplicate, automated, or fraudulent entries;
  • conduct random winner draws;
  • contact and verify potential winners;
  • deliver prizes;
  • publish a minimal winner announcement; and
  • meet legal, security, or dispute-resolution obligations.

Entering a giveaway does not subscribe you to the newsletter. We do not use giveaway entry email addresses for unrelated marketing unless you separately choose to subscribe.

4. Giveaway data deletion

Non-winning giveaway entry data is not kept as a permanent customer database. When a giveaway has one prize, the system automatically deletes all non-winning entry records once that winner is marked verified. When a giveaway has multiple prizes, deletion waits until all required winners have been verified so that replacement draws remain possible during verification.

After that automatic purge, only entry records tied to verified winners are retained. Historical potential-winner records that were disqualified or replaced are removed as part of the purge.

For a verified winner, we retain only the minimum record reasonably necessary to document the award, administer prize delivery, and comply with legal or administrative obligations. A shipping address is deleted once prize delivery is confirmed unless it must be kept for a specific legal or delivery-related reason.

If a legal hold, active dispute, fraud investigation, or other binding legal requirement requires specific information to be preserved, only the information reasonably necessary for that purpose will be retained for as long as that requirement lasts.

5. Public winner information

To provide transparency without publishing unnecessary personal information, a verified winner may be shown publicly as first name, last initial, province/territory or state, and the prize won. For parent-entered entries, the official adult entrant is the person named in any announcement. We do not publicly post a winner's email address, postal code, street address, or other private contact information.

6. Newsletter information

Newsletter signup is separate from giveaway entry. For a paid newsletter membership, we may retain the subscriber's email address, membership plan or status, relevant Stripe customer or subscription identifiers, and timestamps needed to provide and administer the service.

Newsletter information is kept while needed to provide the membership and to maintain any minimal consent, unsubscribe, payment, accounting, or legal record that must remain after the membership ends. Newsletter messages will include an appropriate way to stop receiving future newsletter emails.

Newsletter messages may occasionally include voluntary research polls. Poll votes are not stored with your email address or newsletter account. We use a random browser token in an essential cookie to prevent repeated votes from the same browser and store the selected answer for aggregate research results.

7. Donations

When you make an optional donation, Stripe processes the payment. Project Free TCG may receive and store limited donation record information such as your name, email address, amount, payment status, and Stripe transaction identifiers. We do not receive or store your full payment-card number.

Financial transaction records may be retained for as long as reasonably required for accounting, security, dispute, or legal obligations.

Our commitment regarding how donated funds are used and how monthly allocation documentation may be requested is explained in our Donation Transparency pledge.

8. Sponsorship inquiries

If you submit a sponsorship request, we collect the company or sponsor name, contact name, contact email, contact phone number, proposed sponsorship type and amount where applicable, optional prize preferences, and the time the inquiry was submitted.

We use this information only to review the proposal, communicate about a possible sponsorship, confirm prize and promotional details, administer an agreed sponsorship, and keep a reasonable business record of that communication. Sponsorship inquiry contact information is not added to the public giveaway entrant list or newsletter unless the contact separately chooses to subscribe.

9. Service providers and processing outside Canada

We use service providers to operate the site, including Supabase for database and authentication services, Vercel for website hosting, and Stripe for payment processing. These providers may process or store information outside Canada, including in the United States, where it may be subject to the laws of the jurisdiction in which it is processed.

Service providers receive information only as needed to perform services for Project Free TCG or as otherwise permitted or required by law.

10. Cookies and technical data

The site and its service providers may use essential cookies, request logs, IP addresses, browser or device information, and similar technical data where needed to deliver, secure, and troubleshoot the site. Project Free TCG does not currently use third-party advertising trackers to build advertising profiles from giveaway entrants.

11. Sharing and selling information

We do not sell or rent personal information. We do not provide giveaway entrant lists to advertisers or prize brands.

Information may be disclosed to service providers acting on our behalf, when reasonably necessary to deliver a prize, with your consent, or where disclosure is permitted or required by law.

12. Security

We use administrative and technical safeguards appropriate to the information we hold, including restricted administrative access and access controls in the services used to operate the site. No internet service can guarantee absolute security, so we also reduce risk by minimizing the amount and duration of personal information we retain.

13. Age

Eligible entrants who are at least 13 but below the age of majority where they live may enter only with parental or guardian permission. Parent or guardian verification is mandatory before any prize is awarded to such an entrant. A 13-year-old in Quebec, or any child under 13, must not enter independently: a parent or legal guardian enters in their own name and uses their own contact information instead. We do not seek or knowingly collect personal information from children under 13 through the giveaway entry form.

14. Your privacy choices and rights

Subject to applicable law, you may ask what personal information we hold about you, request access or correction, withdraw consent where consent is the basis for processing, or ask that information be deleted when it is no longer required.

A request to delete an active giveaway entry before the giveaway is completed may require us to withdraw that entry because the information is needed to administer it fairly.

15. Contact and privacy questions

Privacy requests, questions, or concerns can be sent to the Project Free TCG privacy contact at JO@pftcg.com.

You can also review the Official Giveaway Rules.

16. Changes to this policy

We may update this policy as the site changes or legal requirements evolve. The current version and its update date will remain available on this page. Material changes will not be used to expand the purpose of previously collected giveaway data without an appropriate legal basis or consent.
